## 6. Batch Assessments

### 6.1 Schedule Batch Assessments for Institutes
**What it does:** Schedules assessments for a batch of learners (an institute's cohort) at a defined time: the Super Administrator sets a batch assessment — an assessment taken by the institute's group together at a scheduled time — so a cohort is assessed on a common schedule, supporting structured evaluation for the institute. The scheduling is the institute-facing counterpart of the course-level batch assessment.

**Sub-features:**
- Batch assessment scheduling: an assessment set for an institute's batch at a defined time
- Assessment selection: the assessment (from the assessment set) chosen for the batch
- Time window: the start and the duration (the window the batch takes it)
- Batch selection: the institute's group the assessment is scheduled for
- Scheduling list: the batch assessments with their times, institutes, and groups
- Reminder: the batch notified of the upcoming assessment (per notification settings)
- Audit logging of batch assessment scheduling

**Super Administrator User Journey:**
1. An institute's cohort needs a scheduled assessment. Super Admin opens batch assessment scheduling, selects the assessment (from the assessment set), and selects the institute's batch.
2. Sets the time window: the start time and the duration (the window the batch takes the assessment).
3. Saves; the batch assessment is scheduled and appears in the scheduling list with its time, institute, and group.
4. The batch is notified of the upcoming assessment (per the notification settings), so the learners know when to take it.
5. At the scheduled time, the batch takes the assessment within the window; their attempts are recorded against the batch and the institute.
6. Reviews the scheduling list: the upcoming and past batch assessments, their times, institutes, and groups, so the assessment calendar is clear.
7. For a reschedule (a conflict arises), Super Admin moves the batch assessment to a new window; the batch is re-notified and the change is recorded.
8. The batch assessment scheduling and rescheduling are audit-logged with the assessment, the institute, the batch, the window, and the timestamp.

**Rules & Edge Cases:**
- A batch assessment is an assessment scheduled for an institute's group at a defined time window; the batch takes it together.
- The time window (start and duration) is set; the assessment is taken within it.
- The batch is notified of the upcoming assessment per the notification settings; a reschedule triggers a re-notification.
- The scheduling list shows the batch assessments with their times, institutes, and groups; the calendar is visible.
- A reschedule is recorded; the batch's prior attempts (if any) are handled per the reschedule's impact.
- Scheduling is audit-logged with the assessment, institute, batch, window, and timestamp.

### 6.2 Previous Year Papers (If Available)
**What it does:** Makes previous year papers available for the batch assessments (where they are available): the Super Administrator attaches the previous year's papers to the assessment context, so the learners can practice on the real past papers as part of their preparation. The availability is conditional (only where the papers are available and usable), and the attachment is managed like other assessment resources.

**Sub-features:**
- Previous year paper attachment: the past papers attached to the assessment context
- Availability condition: the papers attached only where they are available and usable
- Paper organization: the papers organized by year/exam (where multiple)
- Access: the papers accessible to the learners in the batch (per the access rules)
- Practice use: the papers used for preparation (the learners practice on them)
- Paper review: the attached papers checked for relevance and usability
- Audit logging of paper attachment

**Super Administrator User Journey:**
1. For a batch assessment, Super Admin checks the availability: the previous year papers for the relevant exam are available and usable.
2. Where available, attaches the previous year papers to the assessment context (the learners' preparation resource).
3. Organizes the papers by year/exam (where there are multiple), so the learners can find the right paper.
4. Confirms the access: the papers are accessible to the learners in the batch (per the access rules), and not to others.
5. Checks the papers for relevance and usability: the papers match the current exam pattern (a paper from a very different pattern is flagged or excluded).
6. The learners use the papers for preparation (they practice on the real past papers before the batch assessment).
7. For a paper that is not available (the exam does not publish past papers), the feature is simply not offered for that assessment (the absence is not an error).
8. The paper attachment is audit-logged with the assessment, the papers, and the timestamp.

**Rules & Edge Cases:**
- The previous year papers are attached only where they are available and usable; the availability is a condition, not an assumption.
- The papers are organized by year/exam; the right paper is findable.
- The access is per the access rules; the papers are available to the batch's learners, not others.
- The papers are checked for relevance (the current exam pattern); a mismatched paper is flagged or excluded.
- The absence of papers (an exam that does not publish them) is not an error; the feature is simply not offered.
- Paper attachment is audit-logged with the assessment, papers, and timestamp.
